We move from requirements and candidate assessment to onboarding, launch and ongoing review. Each stage establishes the responsibilities, approvals and preparation needed for your support operation.
01 / 02
Define the role. Assess the people.
03 / 04
Prepare the team. Review the work.
01
Discovery & scoping
Define the support scope
We review your channels, customer inquiries, workload and coverage requirements, then document the role, responsibilities and approval limits.
You review a proposal covering the role, languages, schedule, responsibilities, onboarding approach and commercial terms.
02
Sourcing & assessment
Assess and select agents
Candidates complete practical assessments of the language, communication skills and judgment required by your customer situations.
The shortlist is assessed against the role you need to fill. We confirm the working arrangement and give you the opportunity to meet shortlisted agents before the engagement is finalized.
03
Onboarding & readiness
Prepare the team for launch
We confirm policies, system access and escalation owners, then use practice cases to review readiness before live support begins.
Agents work through your product information, policies and sample customer cases. We check their understanding of the role and agree on readiness before launch.
04
Delivery & quality
Review delivery and quality
We review selected interactions, unresolved cases and recurring issues to inform coaching, documentation updates and capacity planning.
We review the measures that matter to your operation, such as case quality, response times and resolution. Targets and reporting are agreed around your workload, channels and coverage.
CLIENT INPUTS FOR ONBOARDING
The information needed for a prepared team.
Your product knowledge, policies and designated decision-makers are essential to onboarding. We use these inputs to develop agent training, clarify responsibilities and establish the daily support workflow.
Your current support policies and product information
Examples of common and difficult customer inquiries
Yes. We can scope a single dedicated role and add capacity when the workload justifies it. We will define the queue, working hours and escalation route together. One agent covers an agreed schedule, so breaks, leave and work outside that schedule need a separate coverage plan.
02Which languages can you support?
We source English and bilingual agents for international businesses. Tell us the countries you serve, the language variant and whether the role needs voice, writing or both. We confirm candidate availability and the assessment approach before agreeing on language coverage and a start date.
03Will agents use our existing tools?
Yes. The service is planned around your helpdesk, CRM, telephony and knowledge base. You provide the required licenses and approved access. During onboarding, we agree on permissions, queue ownership and which actions an agent can take without further approval.
04Can you cover evenings, weekends or multiple time zones?
Tell us the coverage window and time zone you need. We will build a staffing proposal around it, including working hours, breaks, leave and handovers. Evening, weekend or round-the-clock coverage is agreed only when the staffing plan and candidate availability support it.
05How do you check service quality?
We build a scorecard around the work: accurate answers, sound policy decisions, clear communication and ownership of the next step. Selected interactions are reviewed and used for coaching. Multilingual engagements also need a reviewer who can assess the customer-facing language.
06How do we get a proposal?
Share your required languages, channels, coverage hours and estimated contact volume. We will clarify the role, recommend a team structure and prepare a proposal covering the scope, staffing assumptions, onboarding and commercial terms. If you are still defining your requirements, we can use the initial discussion to develop the brief.
07How quickly can we launch?
We agree on a start date after reviewing candidate availability and your onboarding needs. Sourcing, language assessments, system access and product training all affect readiness. The proposal sets out the steps, who owns them and what needs to be confirmed before live support begins.
08What happens when an agent is unavailable?
Absence, handovers and replacements are part of the staffing conversation. We agree on what coverage is included, how you are notified and how customer context is preserved. Any backup arrangement and replacement process are written into the service agreement.
